IT asset disposal in India: how to sell or dispose of old office computers

Old desktops, laptops, monitors, printers and servers take up space, carry data and lose value every month. A company has three honest ways out: sell what still works, donate it, or send the rest to an authorised recycler. The order matters, because selling first recovers the most money.

Short answer

To dispose of old office computers in India, make an asset list, separate working from non-working items, wipe or destroy every drive, sell the working machines in bulk to refurbishers and resellers, and send the non-working equipment to an authorised e-waste recycler with a written record. Keep the invoices, the asset list and the wipe and recycling records.

Step 1: list the assets

  • Type, make, model, quantity and year of purchase
  • Working, repairable or dead
  • Asset tag and location
  • Whether any item is leased, under warranty or financed (you cannot sell what you do not own)

Step 2: protect the data

Company, employee and customer data must not leave with the machine. Wipe drives with a proper tool and record it, or remove and destroy the drives. Do this before a buyer sees the machines, not after.

Step 3: sell what still works

  • Group by model and condition
  • List working laptops, desktops and monitors as lots
  • Compare offers from more than one buyer
  • Keep the purchase invoice and give the buyer a simple sale invoice

Step 4: recycle the rest

Equipment that cannot be reused is e-waste. In India it has to go to an authorised recycler, and bulk generators are expected to keep records. Check the current rules for your company, and ask the recycler for proof of authorisation and a disposal certificate.

Step 5: consider donation

Working machines can go to schools, training centres or charities. Wipe them first, and keep a record of what you gave and to whom.

Mistakes to avoid

  • Selling machines with data still on them
  • Selling leased equipment
  • Handing everything to one scrap buyer without checking what is worth more
  • Throwing equipment out with ordinary waste
  • Not keeping paperwork

How ClearLot helps

Listing IT hardware or software licences on ClearLot is free and puts them in front of bulk buyers by category. ClearLot is a free-to-list stock board in India. Our team checks every lot before it goes on the board, and the seller's name, business name and phone number are not shown to visitors. When a buyer is interested, we speak to them first and then connect the two. ClearLot does not buy, hold, wipe or transport anything and is not a party to the deal: price, payment and dispatch are agreed between seller and buyer.
